voAIce DealerCRM

Connect your Dealertrack DMS to DealerCRM

A one-time setup, done inside your Dealertrack DMS, that authorizes DealerCRM to exchange data with your store through Dealertrack’s OpenTrack. It takes about 5 minutes.

You’ll need to be signed in to Dealertrack as a user who can manage Data Exchange / OpenTrack vendor access.

What you’re doing

You’ll add voAIce DealerCRM as an approved OpenTrack vendor and grant it access to six kinds of data. Each data type is added one at a time. Nothing changes for your staff — this only lets your store’s data reach DealerCRM.

Step by step

  1. Find your Dealer ID

Look at the bottom-right corner of your Dealertrack DMS screen. The code shown there — your DMS Enterprise Code and Company Number (for example ZE / ZE7) — is the ID your DealerCRM onboarding contact needs. If you haven’t already given it to us, send it over.

  2. Open OpenTrack

In the DMS, open the Data Exchange menu, choose OpenTrack, then on the Active Methods screen click Add.

  3. Pick a data method

On the Vendor Access screen, click the Method field and choose one data type from the Available Methods list. You’ll repeat this for each of the six methods below.

  4. Choose voAIce DealerCRM as the vendor

Click the Vendor field and select voAIce DealerCRM from the Certified Vendors list. Only OpenTrack-certified vendors appear there — that’s us.

  5. Set the access dates

Set Access Begins to today’s date, and leave Access Ends blank.

Leave Access Ends emptyAn empty end date keeps the connection active with no expiration. Only set an end date later if you want to turn a method off.
  6. Save, then repeat for all six methods

Click OK to save this method, then repeat steps 3–5 for each remaining method. Add every one so DealerCRM has the full picture:

    • AccountingDeal & financial accounting records
    • CustomersCustomer contact & profile records
    • DealsSales & F&I deal records
    • PartsParts inventory & orders
    • ServiceRepair orders & service history
    • VehiclesVehicle inventory

Turning it off later

You stay in control. To stop sharing a method at any time, go back to Data ExchangeOpenTrack, choose Change or Deactivate next to that method, and set an Access Ends date.

Only add what you useIf your store doesn’t use a particular area (for example, Parts), you can skip that method — but adding all six gives DealerCRM the most complete view.
